How to Choose a Photocopier

By Bill Bates

Once upon a time having a photocopier in your home or small office was considered a luxury. Do you remember how many times in your life you only had the option of visiting a copy shop in order to make a few copies of any kind of document you wanted to pass out at school or at work? These days, photocopiers are so compact they can just sit in a small area of your desk. Indeed, this makes picking out a photocopier for your home or office more challenging than ever. There is huge variety of machines to select from! How can you recognize which one is the most excellent for you? Here are some questions you should be asking yourself.

For small and even one person, entrepreneur type businesses, a photocopier that is multi-functional would work very well. These machines come in all sizes, from desktop machines to gargantuan machines that take up a bit of space. If there are more users in your business, no problem, you can choose different copiers with specific functions and arrange them so there are no interruptions to the flow of work. Obviously it's all about ensuring work gets done in a timely manner, plus minimizing the outlay for photocopier machines. If you're a small business, you already know all too well about staying within your budget.

You may want a copier that only creates small copies. You might need a copier that can copy from and to other larger sheets of paper. The size of the copies you will be making is quite an important factor in your choice. Not every copy needs to come from or be produced on letter sized paper. There was a time when the only thing to have was Xerox. There are too many companies to list here, but you can find photocopiers made by Canon, Brother, Epson, Konica, Xerox is still around, plus more. While we have nothing against brand loyalties; you will be best served by doing solid research. You can always discover who makes the most reliable copier for the price after you know exactly what you need in a copier. Maybe you just need something basic, or perhaps something with a lot of extra features. Sure, features and options are important, but your price range will go far to determine your choices.

Does your business have a heavy volume of photocopying done every day? The small photocopying units could fit the bill very nicely if you don't anticipate much photocopying activities. The best course here is to get a professional opinion or read the specs or marketing material for particular machines. If you use a small photocopier too much you'll start having maintenance issues. No doubt you want to minimize the need to pay for service calls, plus the overall life of the machine will be diminished. At the same time, you don't want to overshoot your needs. You can always get a little overkill, but not much, and then just grow into it.

There are several different kinds of copy machines available. There are stand alone and desk top copiers. Figuring out which photocopier to get can be a complex job is you have never done it before. Here's how you pick out a copy machine: decide on what you need and then search for a copy machine that can fulfill those needs.
